In short

Upload the recording of the webinar and our own transcription engine returns the text of it. One file may be up to 30 minutes. The export comes as TXT, Markdown, SRT, VTT or CSV, and as DOCX on Pro.

How it works

How to get the file and turn it into text

  1. 1

    Open the recordings

The host opens the Recordings and Transcripts tab of the webinar and copies the shareable link of it.

  2. 2

    Download the files

The recording studio of Zoom downloads all the files of the session, the chosen ones, or one file.

  3. 3

    Mind the formats

The local files of the recording studio are MP4 and WAV, and the cloud files are MP4 and MP3.

  4. 4

Send the file to the engine

Drop the file on the widget above, or pick it from the device. Set the language, switch the speaker split on when more than one person talks, and send.

  5. 5

Read it, fix a name, export

The text comes back one segment per line, with the start and the end time of every piece. Fix a name in the editor and export TXT, Markdown, SRT, VTT, CSV or DOCX.

The result

What comes back from the engine

  • TXT

One segment per line, the way a person wrote it down. It is the format to paste into a ticket, a chat or a document.

  • TXT, CSV

The start and the end time of every segment, and the speakers named separately when you ask for it.

  • SRT, VTT

SRT and VTT with the time of every line, so the recording can carry its own subtitles.

  • Markdown, DOCX

The transcript is edited through the API and exported as Markdown for a wiki, or as DOCX for a review.

The facts

What Zoom keeps, and what it gives

Where the file is

A webinar that runs on Zoom is recorded to the cloud on its own, and the link to the recording sits in the Recordings and Transcripts tab.

What the file is

The recording studio of Zoom saves local files as MP4 and WAV, and cloud files as MP4 and MP3.

What can go wrong

The webinar recording of Microsoft Teams comes with a DOCX transcript and a VTT subtitle file next to it.

The case

What the recording does not give you

Two things are worth knowing before you start. First, the service takes a file and not the address of a page: the recording of the webinar has to reach the disk first, and the steps above say how. Second, a transcript is only as good as the sound, and a headset microphone and the microphone of a room give two very different texts out of the same engine.

Tips

  • Pick the language in the widget; the automatic detection costs a fraction of a second.

  • Switch the speaker split on before the upload and not after it.

  • Markdown is the one to keep in a wiki or in a chat.

  • The audio track is smaller than the video of the same recording.

Questions about Zoom files

The download button of Zoom is grey. Why?

Because the owner of the recording switched the downloads off, or because the plan of the account does not include them. The permission is the one of Zoom.

Is there a free plan for a Zoom file?

Yes: $0, 3 files a day, up to 30 minutes per file and no card. The paid plan is $10 a month when you pay yearly.

Can I send the Zoom file from my phone?

Yes, the widget takes the file from the device it runs on. The steps above are written for a computer, but a downloaded file is a downloaded file.

Can the text of the Zoom file be searched later?

Yes, it is a document and not a sound file. Every segment keeps its time, so you can search a word and quote it with the minute it was said.
