In short

A recording that was saved in Dropbox is a file like any other: take it with the «Download» button and put it on the widget above, and the speech comes back as text, one line per segment, with the time of every line. One file holds 30 minutes.

How it works

How to transcribe a recording from Dropbox

  1. 1

    Open the file in Dropbox

Log in to dropbox.com and go to «All files». The recording usually lies in the folder of the team, next to the notes of the same day.

  2. 2

    Download it

Put the tick next to the file and click «Download» in the toolbar. A whole folder comes down as a ZIP archive, and the archive has to be unpacked first.

  3. 3

    Upload the file

Put the recording on the widget above and leave the language on automatic detection. The engine works with 99+ languages and picks the language of the file on its own.

  4. 4

    Export the words

Every line of the export shows the second it starts at. TXT for a document, SRT for the video, CSV for a table with the time and the voice.

What the transcript of a recording holds

A file in Dropbox

The copy on the disk

it is separate from the file of the account, and a change of it does not go back

A folder of files

up to 250 GB and 10,000 files, and it comes down as a ZIP archive

The case

Why the file in the folder is not a text

The recording of the call was sent into the folder of the team in Dropbox, and the link to it lies in a chat that nobody reads any more. The file is still there, it takes one click to take it, and the text of it takes one search.

Tips

  • Take the file, not the link: the link asks for an account.

  • Unpack the ZIP before the upload.

  • Put the date of the call into the name of the file.

  • Export CSV when the talk has to go into a table of tasks.

Questions this page answers

Does the copy change the file in the account?

No. What comes down to the disk is a separate copy, and a change of it does not go back to Dropbox. The file in the account stays as it was.

Can I download a whole folder?

Yes, but a folder comes down as a ZIP archive of compressed files. Dropbox limits a folder to 250 GB and to 10,000 files, and the archive has to be unpacked.

Why does a big download fail?

The browser and the network are the limit, and Dropbox says so in its own help. For a big recording the desktop app of Dropbox is faster than the site.

How long may one file be?

up to 30 minutes, on every plan. A recording that is longer is cut into parts before the upload, and every part carries its own timecodes.
